Working paper software for accountants splits into two groups, and a US firm should decide which one it needs before booking any demo. Engagement suites such as Caseware Working Papers, CCH Axcess Engagement, Thomson Reuters Engagement CS and AuditFile hold the whole file: trial balance, lead schedules, adjustments, tickmarks, review notes and sign-offs. Lighter tools cover only part of it. Of the suites, only AuditFile publishes a price, $199 per user per month, read on 28 September 2026.
The second thing to know is that a large share of what ranks for "working paper software" is not sold to US firms at all. Silverfin, MyWorkpapers, BrightWorkpapers and Workiro are built around UK, Irish and Australian filing rules, and Xero's new Workpapers product was still marked "coming soon" on its US page when we read it. Below is the short list that actually applies to a US practice, what each one costs where a price exists, and the question that decides between them: how much of your engagement list is audit, and how much is compilations, write-up and year-end statements.

What working paper software actually has to do
A working paper file is the evidence behind a set of statements. For a US firm the core is the same whatever the engagement: import the client's trial balance, map accounts to lead schedules, post and track adjusting and reclassifying entries, attach support for each balance, leave and clear review notes, and produce the statements from the adjusted numbers. Audit adds risk assessment, sampling, tickmarks and the guides that walk staff through each procedure.
That list explains the price gap. The audit half is where the suites earn their money: methodology content kept current with AICPA standards, sign-off trails a peer reviewer can follow, and the review workflow across a team. A firm that issues few audit reports is paying mostly for that half and using mostly the other.
Why does almost no working paper software publish a price?
Because the suites are sold per seat and per module, and the quote depends on how many staff you have, which modules you take, whether you host it, and what else you already buy from the same vendor. Caseware, Wolters Kluwer and Thomson Reuters all price this way, and the figures you find on review sites for them are usually years old. We checked one widely repeated Caseware figure and traced it to a 2014 review of a 2011 release; our Caseware pricing breakdown has the detail.
AuditFile is the exception, and it is useful even if you never buy it, because it gives you a floor for what cloud audit workpapers cost. A five-person firm on Professional pays about $10,740 a year on the one-year agreement ($179 x 5 x 12). If a quote from a desktop suite lands far above that for similar seats, ask what you are paying for that AuditFile does not include.
How much working paper software does a small US firm need?
Count your engagements by type for the last twelve months. That one exercise answers most of the buying question.
If audits and reviews are a real share of revenue, you need an engagement suite, and the choice between Caseware, CCH, Thomson Reuters and AuditFile usually follows your tax software, because the integrations are where the time savings sit. If you run CCH tax, start with CCH Engagement. If you run UltraTax CS, start with Engagement CS. If you have no suite loyalty and want a price you can see, trial AuditFile.
If the list is mostly compilations, preparation engagements, write-up and year-end statements for tax returns, a full engagement suite is more file than the work needs. What those engagements need is a clean trial balance, a record of the adjustments and a finished set of statements the client and the lender can read. A trial balance tool handles the first two. The third is where most of the hours go.
The hours working paper software does not remove
Every suite on the list can print statements from the adjusted trial balance. What none of them does is write the client-facing pack: the formatted income statement, balance sheet and cash flow statement that tie to each other, the comparison to last year, and the three paragraphs explaining what moved and why. On a compilation or monthly write-up client that is the part the owner reads, and staff still build it in Word and Excel after the workpapers are done.
That is the job AIStatements does. It does not replace an audit file, and we would not suggest it for one. It replaces the evenings spent turning finished workpapers into something a client will read.
What to test in a working paper software demo
Bring a real client trial balance, not the vendor's sample. Ask them to import it live and time how long mapping takes, then ask what happens next year when the chart of accounts changes. Post an adjusting entry and check that it flows through to the lead schedule and the statements without a manual refresh. Ask to see the review note trail a peer reviewer would follow. Then ask for the statements in the format your clients receive today, and see how much editing is left.
Also test the evidence side. Year-end workpapers need support attached to balances, and for accruals that often means reading January vendor invoices to find liabilities that belong in December. If that is still done by keying invoice lines by hand, a tool that can extract the data from vendor invoices into a spreadsheet shortens the search for unrecorded liabilities more than any change of workpaper suite.
Questions firms ask before buying working paper software
What is the best working paper software for a small CPA firm?
For a small firm with a real audit practice, the best fit is usually the engagement suite that matches its tax software: CCH Engagement for CCH shops, Engagement CS for UltraTax CS shops, or AuditFile at a published $199 per user per month. For a firm doing mostly compilations and write-up, a trial balance tool plus a statement generator costs far less.
How much does Caseware Working Papers cost?
Caseware does not publish a price for Working Papers; it quotes by seat, module and deployment. Figures quoted online, such as a few hundred dollars per license, trace back to reviews of releases more than a decade old. Ask for a written quote that separates the license, annual maintenance and any cloud or hosting fees.
Is there working paper software with a published price?
Yes. AuditFile publishes its pricing: Professional is $199 per user per month, or $179 on a one-year agreement, for up to 15 users, and Pro Plus is $299, or $249, with unlimited users, read on 28 September 2026. Caseware, CCH and Thomson Reuters are quote-only.
Is Xero Workpapers available in the US?
Not generally, when we checked. Xero's US page described the new Xero Workpapers as coming soon, available to all practices in 2026, with beta access limited to practices using Xero Practice Manager or Xero Partner Hub. It is aimed at compliance workpapers for Xero partners and publishes no price.
Do I need working paper software for compilations?
Not a full engagement suite. A compilation under AR-C 80 needs the statements, a record of adjustments and the compilation report, with no testing or evidence of assurance. Many compilation-heavy firms run a trial balance tool or work straight from the client's ledger export and put their effort into the finished statements.
