What financial statement preparation software actually does
Preparation is the work between a closed set of books and a document somebody outside the business will read. It has a fixed shape: map every ledger account to a statement line, build the income statement, carry net income into retained earnings on the balance sheet, derive the cash flow statement from the movement between two balance sheets, then format the result so a lender, board member or owner can follow it. Done in a spreadsheet, that is two to six hours a month per entity and it breaks every time the chart of accounts changes.
Financial statement preparation software does the assembly and leaves you the judgment. The preparation sequence it automates
Financial statements are prepared in a fixed order because each one feeds the next. The income statement comes first, because net income is an input everywhere else. The statement of retained earnings or equity roll comes second, taking that net income and subtracting distributions. The balance sheet comes third, using the closing equity figure. The cash flow statement comes last, because the indirect method starts with net income and works through the change in every balance sheet account between two dates.
Get that order wrong and the pack will not tie. AIStatements enforces the sequence structurally: it cannot produce a balance sheet whose equity ignores the period result, and it cannot produce a cash flow statement whose ending cash disagrees with the balance sheet. Three tie-outs run automatically on every pack. Net income agrees across the income statement and the cash flow statement. Assets equal liabilities plus equity. Who buys preparation software, and what changes for them
Bookkeepers and outsourced accounting teams are the heaviest users. When you close ten or thirty small clients a month, preparation is the step that scales worst: every client has a different chart of accounts, a different owner who wants a different summary, and the same three statements at the end. Automating the assembly turns a per-client hour into a per-client minute, and the mapping is remembered, so month two is faster than month one.
Controllers at single companies use it differently. The books are already closed in QuickBooks or NetSuite; the problem is that the native reports look like accounting software output rather than a statement pack, and the board wants a document. What it does not do, stated plainly
AIStatements does not keep your books. It has no general ledger, no bank feed, no journal entry screen. If the trial balance going in is wrong, the pack coming out will be confidently wrong in the same way, and no formatting layer fixes that. Reconcile first, prepare second.
It does not write formal notes and disclosures, and it does not produce audit working papers.
