How to run the balance sheet in QuickBooks, and what each setting quietly changes
In QuickBooks Online the path is Reports, then Standard reports, then Balance Sheet. In Desktop it is Reports, then Company & Financial, then Balance Sheet Standard. The report period sets the as-of date, and this is the setting people get wrong most often: a balance sheet is a snapshot at a single instant, so "last month" means the closing date of last month, not a range. Three other controls matter. The accounting method toggle switches between accrual and cash, and it does not just tweak the numbers, it removes open invoices from receivables and open bills from payables, which shrinks total assets and moves equity. Compare columns add the prior period or prior year beside the current one along with a percent change, which is what turns a static page into something a reader can interpret. And Display columns by lets you split the statement by month, class or location, useful for spotting the exact month a balance went strange.
Run the QuickBooks trial balance next, from Reports in QuickBooks Online or Reports, Accountant & Taxes, Trial Balance in Desktop. The trial balance lists every account with its debit and credit balance in one flat list, balance sheet accounts first, then the profit and loss accounts. It is the fastest cross-check you have: if total debits equal total credits on the trial balance but the balance sheet still refuses to tie, the problem is in how transactions link to each other rather than in a single lopsided entry. The balance sheet template QuickBooks ships with is fixed. You can hide subaccounts, change number formatting and save the customization, but you cannot regroup the asset section, add a working capital subtotal or write commentary next to a line. Why the QuickBooks balance sheet goes out of balance
An out-of-balance balance sheet means assets no longer equal liabilities plus equity, which is arithmetically impossible in a double-entry ledger, so something in the file is broken rather than merely wrong. Start by running the report on both bases. If it is out of balance on accrual, you are usually looking at damaged data in a Desktop company file, and Verify Data followed by Rebuild Data is the first move. If it only breaks on cash basis, the culprit is almost always a transaction whose links do not resolve cleanly: a credit memo applied to nothing, a discount posted on the wrong side of a payment, returned inventory, a multi-currency transaction, or a journal entry that hits Accounts Receivable or Accounts Payable without a customer or vendor name attached. Intuit's own troubleshooting steps have you widen the report dates to All, then narrow year by year, quarter by quarter, and finally day by day until the day the balance first breaks appears.
QuickBooks Online rarely shows a literally unbalanced report, but it produces the same class of problem in a quieter way. A bank feed match that created a duplicate deposit, a journal entry posted straight into a bank account behind a reconciliation, or a transaction dated outside the period you asked for will all give you a balance sheet that balances perfectly and still describes a company that does not exist. That is more dangerous than a visible error, because nothing on the page warns you. The discipline is the same either way: never plug the difference into a suspense or miscellaneous account to make the page close. A plug does not fix the ledger, it hides the fix. The cleanup checklist before a QuickBooks balance sheet goes to a bank
Six accounts do most of the damage. Opening Balance Equity should be zero once setup is finished; if it still carries a number, that number is the unexplained residue of how the file was created, and a lender reading it knows exactly what it means. Undeposited Funds should only ever hold payments received but not yet taken to the bank; if it holds months of stale entries, payments were almost certainly recorded twice and cash is overstated. Uncategorized Asset and Ask My Accountant are parking lots that were never emptied. Retained Earnings in QuickBooks Online is calculated, not posted, which means editing a prior-year transaction silently rewrites a prior-year balance you already gave someone: compare the current retained earnings figure against the statement you filed last year and reconcile the gap deliberately. Accumulated Depreciation that has not moved in three years means depreciation was never recorded and your fixed assets are overstated. And a bank account showing a credit balance is not an asset at all, it is an overdraft, and it belongs in liabilities.
Then tie the subledgers. The A/R Aging Summary total must equal Accounts Receivable on the balance sheet, the A/P Aging Summary must equal Accounts Payable, the Inventory Valuation Summary must equal the Inventory Asset account, and the Sales Tax Liability report must equal what the balance sheet says you owe. Reconcile every bank and credit card account through the as-of date, not through "whenever we last did it", because an unreconciled month is the first thing a reviewer will find. Check each loan balance against the lender's amortization schedule; the classic error is booking the whole payment to principal, which understates interest expense on the P&L and overstates how fast the loan is being repaid. How do I get a balance sheet from QuickBooks?
In QuickBooks Online go to Reports, Standard reports, Balance Sheet, then set the as-of date and accounting method. In Desktop it is Reports, Company & Financial, Balance Sheet Standard. Why is my balance sheet out of balance in QuickBooks?
Because the ledger is damaged or a transaction links badly, not because the math is wrong. Out of balance on accrual usually means a corrupted Desktop file, so run Verify and Rebuild. Out of balance on cash basis only points to credit memos, discounts posted on the wrong side, or journal entries hitting A/R without a name.
Does QuickBooks automatically create a balance sheet?
It maintains the underlying balances automatically with every transaction you record, but you still have to run the report yourself from the Reports menu. It will not review the balances, group them for a lender, check the tie against your trial balance, or tell you what the ratios mean.
