How to run a trial balance in QuickBooks Online and QuickBooks Desktop

In QuickBooks Online, which most bookkeepers shorten to QBO, open Reports and type "Trial Balance" into the report search, or scroll to the group called For my accountant, where it sits alongside the general ledger, journal and transaction detail reports. Older versions of the interface label that group Accountant & Taxes. In QuickBooks Desktop the path is Reports, then Accountant & Taxes, then Trial Balance. Desktop firms that also relied on QuickBooks Statement Writer to format the result should read the QuickBooks Statement Writer alternative comparison, because that tool has no QuickBooks Online equivalent. Either way you land on a flat two-column list: every account in the chart of accounts with a debit or a credit balance, balance sheet accounts first, then income and expense accounts, with a total row at the bottom that must show identical figures on both sides.

Four settings change what you get, and they matter more than they look. The report period sets the as-of date, and because a trial balance is a snapshot of balances rather than a range of activity, the closing date is what the report actually keys on. The accounting method toggle, which lives under Customize in the General section, switches between cash and accrual, and it does not merely nudge the numbers: on cash basis QuickBooks strips open invoices out of Accounts Receivable and open bills out of Accounts Payable, so total debits and credits both shrink and equity moves. Display columns by lets you break the report out by month instead of a single Total only column, which is the closest QuickBooks Online gets to a comparative trial balance. And the non-zero or active rows filter decides whether dormant accounts appear at all, which is worth turning on when you are hunting for something that should be empty and is not.

One structural limit is worth knowing before you plan a workflow around it. The QuickBooks Online trial balance report only ever shows a Debit and a Credit column. You cannot add a prior-year column beside the current one, you cannot add a variance column, and you cannot regroup accounts into the subtotals a statement needs. What is a trial balance in QuickBooks, and why start statements from it

A trial balance is the list of every account and its ending balance, arranged so that total debits equal total credits. In a double-entry system that equality is guaranteed by construction, which is the source of a common misunderstanding: a trial balance that balances proves the bookkeeping is arithmetically consistent, not that it is correct. Post $4,000 of rent to Repairs and the trial balance still balances perfectly. What it does give you is completeness. Nothing in the ledger is summarized away, nothing is grouped, nothing is hidden inside a subtotal, and every account appears exactly once.

That completeness is why accountants reach for it rather than for the balance sheet or the P&L when they are building a statement set from scratch. The balance sheet report shows you QuickBooks' opinion of how accounts should be grouped, and that opinion is fixed. The trial balance shows you the raw material with the grouping decision still open, which is the decision that separates a report QuickBooks printed from a statement someone outside the business can read. The practical difference from the balance sheet is one of scope and shape. A balance sheet covers assets, liabilities and equity as of a date, already grouped into current and long-term, and stops there. A trial balance covers those same accounts plus every revenue and expense account, ungrouped, in one flat list. Put another way, the trial balance contains everything needed to build all three statements, while the balance sheet contains roughly a third of it, pre-arranged.

From QuickBooks trial balance to a finished statement pack: what the mapping does

Turning a trial balance into financial statements is a mapping problem, and it is the same problem every month. Each account has to be assigned to a line on a statement, the assignments have to roll into subtotals, and the subtotals have to tie across the three statements. Cash, receivables, inventory and prepaid expenses become current assets. Property, equipment and accumulated depreciation net into fixed assets. Payables, accrued liabilities, credit cards and the current portion of any loan become current liabilities, with the rest of the loan sitting below in long-term debt. Owner contributions, distributions and retained earnings form equity. Every revenue and expense account drops into the income statement, and net income from that statement has to arrive back in equity on the balance sheet as the closing movement in retained earnings.

The two checks that catch most errors are cheap and almost nobody runs them by hand. First, total debits must equal total credits on the source export, which flags a truncated or partially copied file before you waste an hour on it. Second, and more useful, net income computed from the income statement accounts must equal the change in retained earnings plus distributions on the balance sheet. When those two figures disagree, something was mapped to the wrong statement, and the gap tells you roughly what. The cash flow statement is where the trial balance earns its place, because it cannot be built from a single period at all. The indirect method starts at net income and adjusts for non-cash items and for the movement in every working capital account, so it needs the current period and the prior period side by side. Run the trial balance twice, once at the current close and once at the prior close, and the whole statement falls out of the comparison. A comparative trial balance in QuickBooks, and the checks to run before statements go out

QuickBooks Online has no true comparative trial balance report. The nearest equivalent is setting Display columns by to Months, which spreads activity across the period rather than putting last year beside this year, and it stops being readable past about six columns. QuickBooks Online Accountant users get closer with the Workpapers trial balance view, which is built for exactly this and is not available on a standard subscription. In Desktop you run the report twice for two dates and compare in Excel. None of these give you a variance column, which is the thing anyone reviewing a statement pack actually wants, so if comparative periods are a monthly requirement, plan on the comparison happening outside QuickBooks.

Before a statement set built from a trial balance goes anywhere, six accounts deserve a direct look, because they are where the damage usually is. Opening Balance Equity should be zero once file setup is finished; a balance there is the unexplained residue of how the file was created. Undeposited Funds should hold only deposits genuinely in transit at the report date, and a stale balance normally means payments were recorded twice and cash is overstated, which our note on undeposited funds in QuickBooks works through. Uncategorized Asset, Uncategorized Income and Ask My Accountant are parking lots nobody emptied. Accumulated Depreciation that has not moved all year means depreciation was never booked, so assets and equity are both overstated. Retained Earnings in QuickBooks Online is calculated rather than posted, so editing a prior-year transaction silently rewrites a balance you already gave someone; the ordered list of causes is in why QuickBooks retained earnings is incorrect. And a bank account carrying a credit balance is an overdraft, not an asset, so it belongs in liabilities.

Then tie the subledgers to the trial balance rather than to the balance sheet, because the trial balance is the version with nothing rolled up. The A/R Aging Summary total has to equal Accounts Receivable, the A/P Aging Summary has to equal Accounts Payable, the Inventory Valuation Summary has to equal the Inventory Asset account, and the Sales Tax Liability report has to equal the sales tax payable balance. Reconcile every bank and credit card account through the as-of date, not through whenever the last reconciliation happened. Check each loan against the lender's amortization schedule, since booking the full payment to principal understates interest expense and overstates how fast the debt is clearing.
