Quick Trial Balance Pro Alternative That Drafts the Statements From Your Trial Balance

Quick Trial Balance Pro from PRO-WARE costs $459 for the initial one-year subscription, which covers a multi-user site license for one office; the renewal price is shown only to logged-in customers (PRO-WARE shop, read 19 October 2026). It is a desktop program for Windows and Mac. Firms that want another desktop trial balance tool compare EZ Trial Balance at $399, and firms that want the cloud compare Ten Key ATB from $500 a year. Firms whose real time sink is the statements themselves use AIStatements, which turns a trial balance or a QuickBooks or Xero export into a tied P&L, balance sheet and cash flow statement with written analysis in about a minute, from $24 a month billed yearly.

Quick Trial Balance Pro is a capable desktop trial balance tool at a fair price. If the hours you want back are the ones spent formatting financial statements after the balances are adjusted, there is a faster route.

What Quick Trial Balance Pro costs in 2026

PRO-WARE, the Omaha company behind Quick Trial Balance Pro, prints its price, which already puts it ahead of most of this category. Its online shop, read on 19 October 2026, lists "Quick Trial Balance Subscription (Initial Purchase)" at $459.00. That buys one year. The renewal price is not public: the sales FAQ says you are notified before the subscription expires and can log in with your customer number to see the current figure, or call.

The license unit is the office, not the person. A site license lets you install the program on every computer at one mailing address, including laptops you take to client locations, and each additional office address needs its own license. For a five-person practice in one building, $459 works out to under $92 per head for the year, which is hard to beat for a dedicated trial balance program.

Two terms are worth reading before you buy. The shop states that all sales are final and asks you to try the demo first, and it says that at the end of the subscription year you must renew or the program will no longer run. So this is a subscription in the full sense, not a perpetual license with optional maintenance. While the subscription is current you get unlimited technical support, bug fixes and updates.

PRO-WARE also sells PFS MultiClient, a separate program for personal financial statements, at $299. If your firm prepares personal statements for loan applications, budget for both.

Why firms look for a Quick Trial Balance Pro alternative

Most firms that search for an alternative are not unhappy with the trial balance itself. Quick Trial Balance Pro does the core job well: unlimited client files, up to three books per file (book and tax, say), unlimited journal entries that can be archived for reuse next year, ten primary and ten secondary group codes per account, a spreadsheet-style Visual Trial Balance with comparatives, and lead schedules. It imports from ATB, Workpapers Plus, QuickBooks, Sage, Excel and CSV.

The friction shows up in three places. First, it is installed software. Every machine needs the program, and a laptop at a client site needs the current data file, which matters more now that staff work from home. Second, the statements still take hands-on time. Quick Trial Balance Pro can produce custom financial statements with an accountant's report, table of contents and notes, but someone has to build and maintain the layouts, and in January that someone is usually the partner. Third, the subscription lock: if a renewal slips, the program stops running, and it tends to slip in the busiest month.

None of that is a reason to leave on its own. It becomes one when your client list shifts toward monthly or quarterly statements for write-up clients, where the trial balance is the easy part and the presentation is the work.

Quick Trial Balance Pro alternatives compared

There are really three directions. You can swap one desktop trial balance tool for a cheaper one, move the trial balance to the cloud, or keep the trial balance where it is and automate the statement drafting step that follows it. The table below puts the published prices side by side. Every figure was read on the vendor's own page on 19 October 2026; directory listings disagree with vendors often enough that we do not use them for prices.

EZ Trial Balance, sold as TB Works until recently, is the closest like-for-like swap: a Windows trial balance program at US$399 to purchase or renew, with 32-bit and 64-bit demos. Ten Key ATB is the cloud option. It markets itself as a modern take on the old ATB program, starts at $500 a year for five users and 250 clients, and links to UltraTax, ProSeries, ProSystem fx, Axcess Tax and Lacerte. Inside the Thomson Reuters world, Workpapers CS and Accounting CS carry the trial balance and statements, but both are quote-only and we compare them on our Accounting CS and Workpapers CS alternative page.

If you came here from an older program, our guide to replacing ATB accountant's trial balance software covers moving client files out of a discontinued tool, and our trial balance software for accountants roundup covers the wider field, including the audit platforms.

When AIStatements is the better buy

AIStatements starts where a trial balance program stops. You upload the adjusted trial balance as a CSV or Excel file, or a QuickBooks or Xero export, and it maps the accounts and returns an income statement, a balance sheet and a statement of cash flows that tie to each other, with a written analysis of what moved and why. That takes about a minute per client, and the output exports to PDF and Excel. The full workflow is described on our trial balance to financial statements page.

The fit is strongest for firms producing recurring statements: monthly or quarterly packages for write-up clients, year-end compilation statements, and statements a lender or board asked for. For that work, the cost that matters is staff time per set of statements, not the license. If formatting and cross-checking a set takes forty minutes today, a firm with sixty clients on a quarterly cycle spends roughly 160 hours a year on it. See how the drafting fits a compilation workflow on our financial statement compilation software page.

Pricing is published and you can buy it today: Starter is $24 a month billed yearly for one company, Growth is $59 a month billed yearly for up to five companies with multi-period statements and consolidation, and Firm is $174 a month billed yearly for up to 25 client companies with a review workflow, staff roles and white-label output. Monthly billing is available on every plan, and the full grid is on the pricing page. Write-up practices weighing the whole stack can also read our write-up software for accountants page.

When to keep Quick Trial Balance Pro

Keep it if your practice is tax-first. Quick Trial Balance Pro's group codes exist to roll balances up for a tax return, and its three-books structure handles book-to-tax differences cleanly. AIStatements does not push balances into UltraTax or any other tax software, and it is not built to carry tax adjustments. If most of your year-end work ends in a return rather than a set of statements, a dedicated trial balance program, or Ten Key ATB with its tax links, is the right tool.

Keep it, too, if your statements are few and settled. A firm that issues twenty annual compilations with layouts that have not changed in years has already paid the setup cost, and $459 a year for the whole office is cheap. AIStatements is also not a workpaper binder and keeps no lead schedules, so a firm that relies on those inside the trial balance program would be giving them up.

Plenty of firms end up running both: the trial balance program for tax groupings and adjusting entries, and AIStatements for the statement drafting and analysis that clients actually read.

Moving client files out of Quick Trial Balance Pro

You do not need a conversion utility. Export each client's adjusted trial balance to Excel or CSV with account number, account name and the current and prior-year balances, then upload that file. Keeping the prior-year column gives you comparative statements from the first month.

Start with one client whose statements you know well. Check that the mapped account classes match how you have always presented that client, adjust any account the mapping places differently, and compare the totals with last year's issued statements. AIStatements remembers the mapping for that client, so the next period is an upload and a review.

If you are leaving desktop software altogether, export every active client before your subscription lapses, because the program stops running when it expires. Keep the exported files with the engagement records so the history stays readable whatever you use next.

Common questions

How much does Quick Trial Balance Pro cost?

Quick Trial Balance Pro costs $459 for the initial one-year subscription, according to the PRO-WARE shop read on 19 October 2026. That covers a multi-user site license for one office address, with support and updates for the year. The renewal price is shown only to logged-in customers or by phone, and all sales are final, so run the free demo first.

Is Quick Trial Balance Pro a one-time purchase?

No. Quick Trial Balance Pro is sold as a one-year subscription. PRO-WARE states that subscriptions run a year from the date of purchase and that at the end of the year you must renew or the program will no longer run. Export your active client files before any planned lapse so the trial balances stay readable.

Does Quick Trial Balance Pro run on a Mac?

Yes. Quick Trial Balance Pro runs on Windows 8.1 or newer and on macOS 10.14 Mojave or later, and PRO-WARE says it works the same way on both, with no data file compatibility issues when moving between them. There are separate free demos for Windows and Mac on the vendor's download page.

What is the best alternative to Quick Trial Balance Pro?

It depends on the job. For a cheaper desktop trial balance, EZ Trial Balance costs $399. For a cloud trial balance with tax software links, Ten Key ATB starts at $500 a year. For firms whose time goes into formatting statements, AIStatements drafts a tied P&L, balance sheet and cash flow from the trial balance in about a minute.

Can Quick Trial Balance Pro import from QuickBooks?

Yes. PRO-WARE lists imports of the chart of accounts and trial balances from QuickBooks, Sage, Excel and CSV files, and from older programs such as ATB and Workpapers Plus. Without an import, its Quick Entry option takes four fields per account: number, name, type and balance. AIStatements also reads QuickBooks and Xero exports directly.

Can AIStatements replace Quick Trial Balance Pro?

For statement production, yes; for tax work, no. AIStatements turns an adjusted trial balance into tied financial statements with written analysis, but it does not carry tax group codes, push balances into tax software or keep lead schedules. Firms that are mostly tax keep a trial balance program, and firms producing recurring statements move that step to AIStatements.
